What this page is for
See every unit and its stays on one chart: rows are units grouped by building and floor (or property group), columns are days. Free nights are highlighted. Create a booking by clicking free nights, move a stay by dragging it, and find units that are free for given dates.
Who can use it
- View the multi-calendar opens it.
- Add bookings lets you click free nights to start a booking; Edit bookings lets you drag stays.
- Stays already in a locked or split arrangement can't be dragged (see below).
- The module is part of the Front desk and buildings package.
How to create a booking from the chart
- Click the first free night (it gets an outline).
- Click the last night of the stay on the same row. The booking form opens with the unit and dates filled in.
How to move or resize a stay
- Move: drag the stay to another day or unit and confirm. The number of nights stays the same.
- Change the check-out: drag the small handle at the end of the stay to the new last night and confirm.
- The overlap guard applies: if the nights are taken you see which booking holds them. Amounts are not changed; open the booking to change them.
How to see and change prices
When the Rates calendar module is on and you can see it, each free night from today on shows its nightly price (for 7, 14 and 30 days; for 90 days hover on a night to see it). The price is the one guests see on the unit's channel manager, or the price set in the rates calendar when the unit is not connected.
With Change nightly prices, select a price to open the rates calendar for that unit and month, change it there and select Save prices: it is sent to the channel manager. Clicking elsewhere in a free night still starts a booking.
To see prices a month at a time, select Rates calendar at the top of the page. It opens the month you are looking at, with a calendar per unit (only the units you filtered on, if any). The button shows when the Rates calendar module is on and you may see it.
How to find free units
Open Find free units, enter the dates and optionally minimum bedrooms and guests, and select Search. Select Book next to a unit to start a booking.
Fields and columns
| Item | Meaning |
|---|---|
| Show | 7, 14, 30 or 90 days. Use the arrows to move earlier or later, Today to come back. |
| Group by | Building and floor (when Buildings is on) or property group. |
| Unit type, Platform, Status | Filters. Cancelled stays are never shown. |
| Bar colours | Confirmed, no-show, tentative, inquiry (dashed) and blocked, as in the legend. Dark bars are blocks from other modules (for example maintenance). |
| Channel on a stay | Where the booking came from (for example Airbnb, Booking.com, Direct), from the booking's Platform. The dot has the same colour as on the rates calendar; long stays also show the name. The Channels list above the chart names each colour. |
| Free night | A night with nothing on it. |
| Price on a free night | The nightly price, without decimals when they are zero. Hover for the full amount, currency and channel manager. |
| Warning sign next to a unit | Its channel manager could not be reached; the prices shown are the ones set in the rates calendar. |
| Hover on a stay | Guest, channel, dates, balance due and stay status. |
Statuses and automation
The chart is drawn from bookings each time it opens. Inquiries show only when they exist; whether they hold the dates depends on the Bookings setting Inquiries hold the dates.
Prices are read from each unit's channel manager once per page (kept for ten minutes). If reading many units takes too long, the rest show the prices set in the rates calendar. Prices reach Airbnb, Booking.com and other channels only through a channel manager; iCal links carry booked dates, never prices.
Settings that change this page
- Prevent overlapping bookings in the Bookings settings (Module settings).
- Unit types in Master data.
- Channel names come from the Booking platforms list in master data.
- Prices need the Rates calendar module; connecting units to a channel manager (for example Beds24) shows that channel's prices.
FAQs
Why are some properties missing? Unless you choose properties in the filter, only active properties are included (status Active or Onboarding). Inactive and offboarded properties are listed last in the property filter, marked "(inactive)"; choose one to include it.
Why can't I drag a stay? It is split by calendar month, or you can't edit bookings. Open the booking instead.
Does moving change the price? No. Edit the booking to change the amounts.
Why do I see no prices? The rates calendar is off, you cannot see it, the nights are past or taken, or no price is set for them yet.
Where do I change prices in bulk? In the Rates calendar, which also shows the pricing advisor's suggestions.
Troubleshooting
| Problem | What to do |
|---|---|
| "Those nights are already booked" | Choose free nights, or ask someone allowed to override overlaps. |
| A unit is missing | It is offboarded, a company cost centre, filtered out, or you don't have access to it. |
| A stay has no channel | The booking has no Platform. Open the booking and choose one. |
| Selecting a price does nothing | You need Change nightly prices to open the rates calendar from here. |
