Editing a user

Change a person's details and role, reset their password, suspend or restore their access, and see their history.

What this page is for

This page shows one person's membership of your organisation. You can update their details and role, give them a new temporary password, suspend or restore their access, and see what changed on their account.

Who can use it

How to change details or role

  1. Edit the name, phone or role.
  2. Tick or untick Employee and Can be given tasks.
  3. Select Save. The change applies the next time the person opens a page.

How to reset a forgotten password

  1. Select Set a temporary password.
  2. Copy the password shown (it appears only once) and give it to the person privately.
  3. They must choose their own password when they next sign in.

How to suspend or restore access

Fields and columns

Field What it means Rules
Full name Name shown everywhere Required, up to 120 characters.
Email address Their sign-in address Can't be changed here.
Phone Optional phone number Up to 32 characters.
Role What they may see and do Required.
Employee Part of your staff Used by staff lists, leave and performance.
Can be given tasks Receives operational tasks Used by housekeeping.
Property access Which properties and groups the person can see Nothing ticked means all properties. A group includes its sub-groups and properties added later. The account owner always sees everything.
Status, Two-step verification, Last sign-in Read-only facts about their access
History Every change to this person's account and membership Select an entry to see before and after values.

FAQs

Does changing someone's role sign them out? No. Their permissions change the next time they open a page.

Can I see their password? No. Nobody can. Set a temporary password instead.

Troubleshooting

Problem What to do
"You can't suspend your own account." Ask another administrator to do it.
"The account owner can't be suspended." Ownership must be transferred first. Contact support.
The person still sees an old menu Ask them to reload the page.
